Disaster Recovery & Contingencies

Internet & Backbone
All of our data lines, T1's, phone and fax lines have been buried underground between our building and our Central Office with Verizon, providing us the highest level of tolerance possible to wind, weather and other phenomena. Since ProFax, Inc. inception in 1989, we have never had a weather related line failure. In addition, we use multiple ISP's and long distance service providers, to help insulate our exposure to Internet, backbone, T1 and telephone line failures. In the event of a carrier failure, ProFax, Inc. would shift its traffic to an alternate carrier. When co-location is a customer requirement, separate agreements can be negotiated with our clients.

Additionally, ProFax, Inc. has an affiliate relationship with separate facilities to insure against regional disasters and emergency overload situations.

Power
All of ProFax, Inc.'s servers and critical equipment are attached to Uninterrupted Power Supplies (UPS's) giving us approximately thirty minutes of battery life as a buffer between our local utility company's power and our own power generators.

Hardware
Reliable connections are only as reliable as the system they connect to. With this in mind ProFax, Inc. uses an assortment of Windows NT servers, configured with hot-swappable hard drives in a level 5 RAID array and hot-swappable redundant power supplies. We maintain at least one pre-configured back-up server at all times, ready to swap in the event of a server crash along with on site spare parts and technical staff prepared to remedy all situations that could arise.

Data Retention/Destruction & Storage
Daily backups are performed of all client data and critical applications to 4mm DAT media. We use the latest version of Seagate's Backup Exec. All daily tapes are cycled on a three-week rotation. A full system backup is performed to tape on a weekly basis, which is stored in a secure location off-site. These tapes are available twenty-four hours a day and seven days a week. They can be delivered to ProFax, Inc. within 60 minutes. Additional back-ups are performed based upon the needs of our client's critical application requirements. In addition, we archive mission-critical data and inbound tag/e-mail files as well. Currently, all incoming fax orders are immediately archived to a live fault tolerant file server, which can be dynamically expanded to accommodate increases in storage need. Each evening, all client data is replicated to a live archive database server.
